Introduction

What is LumiSight Workplace?

LumiSight Workplace is a self-screening platform that supports the well-being of employees and visitors in workplace communities. It was developed by DataHouse Consulting, a local Hawaii company dedicated to supporting our communities through innovative technology solutions.


How does LumiSight Workplace work?

LumiSight Workplace is easy to use every day. Employees and visitors log in to a web or mobile application and perform a quick check-in. They immediately receive guidance on whether they can report to work or stay home that day.


How do employees and visitors access LumiSight Workplace?

Employees and visitors can go to pidf.workplace.lumisight.com from any browser on any device.


They can also download the LumiSight Workplace mobile app from the App Store (for iOS devices) or Google Play (for Android devices).


How do web administrators monitor the community's check-ins?

PIDF administrators can access the web admin application at pidf.webadmin.workplace.lumisight.com to monitor LumiSight Workplace usage, check-in statuses, notifications, user permissions, and more. Follow this user guide to navigate the web admin app and help keep the community healthy.

The Overview screen shows the total number of users who have completed their daily check-in.

Critical alert notifications

Critical alerts notify recipients when someone checks in as not clear, submits a contact history form, or does not check in for a few days. If you are a recipient of a critical alert, you will receive an email and a notification in the admin app.

Check-ins

Go to Check-ins to view individual check-in statuses and results.

View the check-in history for each individual user.


1. Select the user from the Check-ins list.

2. The User Detail tab shows the user's information.

3. Select the Check-ins tab to view the entire check-in history for the user.

Export check-ins

Export the check-in list as an Excel spreadsheet for reporting purposes.


1. Select Export from the Check-ins screen.

2. Select the user type and date range, then select Export.

3. The export file is an Excel spreadsheet that lists the daily check-in history for each user.

Manage application

Go to Manage Application to edit the entrance questions, daily check-in questions, and results that your users see on their apps.

Edit resources

You can edit the resources that appear on the Home screen to provide helpful links and guidance to your users.


1. Select the General tab and expand the Resources section. You can edit or delete the resources listed. Select Add New to create a new resource.

Edit the entrance questions for internal users

You can edit the questions you ask employees when they set up their accounts for the first time. Employees can update their responses at any time from the More screen of their app.


1. Select the Internal Users tab. In the Entrance Questions section, select Edit.

2. Use the text editor to modify the Title and Description for each question. When finished, select Save Questions.

Update the risk results content according to CDC guidance and company policies so that users know what to do.

Edit the entrance questions for visitors

Manage notifications

Go to Manage Notifications to edit your daily push notification and geofencing alert, and send mass emails to your users.

You can change the daily push notification sent to all users and designate the send dates and time.


1. In the Push Notification for all Users section, select Edit.

2. Select the send dates and time, and edit the title and content. When finished, select Save Daily Notification.

Send mass emails

You can send the same mass emails to all users, or you can send custom emails to different user groups.


1. Select the Mass Emails tab. Then, select one or more user groups and an email template. To send, select Send Email.

2. The user groups you selected will receive an email with your message.

Edit email templates

You can add, edit, and delete email templates to send relevant messages to your users.


1. Select the Email templates tab, then select Edit.

2. Select + Add to create a new template and the trash can icon to delete a template. Edit the subject and content, then select Save Email Templates.

Edit geofencing alert message

Edit the alert message users receive on their mobile phones when they approach certain locations.


1. Select the Geofencing tab, then select Edit.

2. Edit the title and body, then select Done.

Add, edit, or delete a geofencing location

Edit the locations that trigger a geofencing notification on your users’ mobile phones.


1. Select the Geofencing tab, then select the edit icon to change the location information, or select the delete icon to remove the location completely. To add a new location, select + Add New Location.

2. To add a new location, enter a description, then enter the location address in the search box on the map.

2. Confirm the location on the map and change the radius as needed. The radius determines the geographic area that triggers the alert notification. When finished, select Done.

Manage users

Go to Manage Users to view and edit user information.

Create a user profile

Create new user accounts for employees, visitors, and other user types.


1. From the Manage Users screen, select New User.

2. Enter the user information. First name, last name, email, user type, and admin role are required. When finished, select Create.

Edit a user profile

You can update a user's profile information, user type, and admin status.


1. Search for and select the user from the Manage Users list.

2. Select Edit from the user's profile.

3. Update the user's information, then select Save.

Change a user status

You can change a user’s status from Active to Terminated (or Terminated to Active) as needed.


1. From the Manage Users list, select the quick action menu for the user, then select Terminated (or Active).

Flag a user as quarantine

You can quickly flag quarantined users so that you can monitor their location check-ins and quarantine duration.


1. Search for and select the user from the Manage Users list.

2. Select Flag as quarantine from the user's profile

3. Enter the To date or Duration, then select Save. The user's Quarantine Status will update on the Manage Users list, and the user will be added to the quarantined Users list.

Manage critical alerts

Go to Manage Critical Alerts to edit the recipient list for critical alert notifications.

Edit a critical alert

You can enable, disable, and change the recipients for each critical alert notification.


1. Go to Manage Critical Alerts and select Edit to update the notification settings.

2. Select the Status toggle to enable or disable the notification. Select a Recipients option and enter the appropriate recipients. When finished, select Save.

Quarantined users

Go to Quarantined Users to monitor users under quarantine and quickly search for past quarantined users.

View location check-ins

You can monitor quarantine users’ location check-in history and coordinates.


1. Search for and select the user from the Quarantining list.

2. Select the Location Check-ins tab to view a list of timestamped location check-ins and coordinates. Select the coordinates to verify the location on a map.

End a quarantine

You can end a quarantine at any time, and the user will be added to the History tab.


1. Search for and select the user from the Quarantining list.

2. Select End Quarantine. The user will be moved to the History tab.

View past quarantine details

You can view past quarantined users and their location check-ins.

2. Select the User Detail tab to view the user's quarantine status and duration. Select the Locations Check-ins tab to view past location check-ins and coordinates.
